What this notice covers
This notice explains how PhotoBet handles information when you browse the website, create an account, upload event photographs, search a gallery, buy access or contact us. Photographers and organizers also have responsibilities for the photographs they collect and share.
Information we use and why
- Accounts and support: account details, sign-in information and messages help us provide access, respond to requests and protect accounts.
- Event delivery: event details, uploaded photographs, previews and gallery settings let us process and deliver the photographs you make available.
- Face search: where enabled, face indexes from event photographs and a guest’s submitted selfie are used to find possible matches within that event.
- Orders and payments: selected items, amount, currency, transaction references and provider status help us verify payments, provide purchased access and investigate disputes. Payment details entered on a provider’s payment page are handled by that provider.
- Operation and security: technical request information, service activity, consent and delivery records help us maintain the service, prevent abuse and investigate problems.
We process information to provide services you request, maintain and protect those services, respond to legal obligations and, where required, obtain permission for optional processing. Optional analytics and selfie search have their own choices. Agreement to service terms is not a substitute for those choices.
Photographers, organizers and guests
The photographer or organizer decides what to upload and how an event is shared. They must have appropriate rights and permissions for that use, including any face processing and images of children. We operate the platform and handle account, security, support and transaction information for our service.
Contact your photographer about why an event photograph was taken or shared. You can also contact PhotoBet about information hosted here. We will identify the responsible party and verify requests without asking for unnecessary identity documents. Possession of a gallery link is not permission to reuse another person’s photographs.
Professional inquiries and outreach
We may use business contact details you give us or publish on your business website to assess a relevant professional inquiry or collaboration, subject to applicable contact rules. We record the source, relevant business context, correspondence and whether you want further contact. A public address is not permission for unrelated bulk messages. Reply to decline further outreach or contact marketing@photobet.net. We keep the minimum suppression record needed to respect an objection and do not treat a reply as agreement to a mailing list.
Optional selfie search
Face matching can involve sensitive biometric information. Read the notice and give the requested permission before using it. Upload your own selfie; do not submit someone else’s image without appropriate authority. Matching is limited to the selected event, can miss photographs or return incorrect matches, and does not verify identity. Ask the photographer for help if you prefer not to use a selfie.
Search selfies are stored privately for up to 72 hours. Automatic cleanup runs every minute after that limit; replacement or an unsuccessful search can remove a selfie sooner. Match-session access expires after 30 minutes. Event photographs and their face indexes are separate from search selfies and do not expire under this 72-hour rule.
Analytics and your choices
Optional first-party product analytics measures selected interactions such as pricing views, registration and successful product use when you allow it. You can decline optional tracking and still use PhotoBet. Essential account, payment, consent and security records are maintained separately.
Customer exports to Google Analytics and PostHog are currently disabled. No advertising pixels or session replay are enabled. If external product analytics is enabled later, we will update the applicable notice and use the required consent controls first. The prepared integration uses selected events and opaque identifiers, not photographs, selfies, face indexes, passwords, contact-form text or card details. Opaque identifiers can link activity and are not the same as anonymous information.
Use the Privacy choices button to change your choices. Withdrawal stops future optional collection for that consent; it does not automatically erase records already collected. Contact us about deletion where appropriate.
Who receives information and where it is processed
Hosting, storage, email and payment providers process the information needed to supply their part of the service. Authorized personnel may access information to provide support, maintain security or resolve an issue. We may also disclose information when legally required or to investigate misuse, with the scope limited to the relevant purpose.
Our current application hosting and configured customer-media storage are in London, United Kingdom. Our email service is supplied through MyFCloud. Chapa provides the payment option currently available to ordinary customers; its checkout identifies available payment methods. Provider processing can take place outside your country. Ask us about the processing arrangements relevant to your use before uploading information if location is important to you.
How long information stays
The 72-hour limit applies to guest search selfies. Event photographs and their face indexes remain subject to gallery management and verified removal requests; automatic deletion on plan expiry is not currently implemented. Do not assume that expiry removes your stored photographs. Keep independent copies of your originals and contact us to request removal or clarify an event’s availability.
Account, support, security, payment and consent records may need separate retention for their service purpose, reconciliation, disputes or applicable obligations. We assess deletion requests against those purposes and explain any records we must retain. Backup copies may require separate handling. Deleting material here cannot remove copies already downloaded by photographers or guests.
Requests and concerns
Contact info@systemelement.net to request access, correction or deletion, withdraw permission, raise an objection or ask about your information. Describe the account or event and what you need. Do not email passwords, payment verification codes, card details or selfies. We may verify your authority before acting to protect other people’s information. Applicable privacy rights and complaint routes are not limited by this notice.
Updates
We identify changes using the effective date and version above. Material changes will be communicated as appropriate before new processing is introduced. Read our cookie notice and terms of service for related information.
