A practical guide for photographers

How to share event photos with guests.

A useful handover starts before you send a link. Agree the audience, prepare the right collection and make sure a guest can get from the invitation to an available photo.

1. Agree the handover with your client.

Decide who should receive the photographs and whether the client or photographer will distribute the link. Confirm which photos belong in the shared collection, what guests may download and how long access is needed.

If the client only needs the complete set and will handle onward sharing, you may not need a separate attendee-delivery workflow.

2. Choose a destination that fits the job.

A shared folder can suit a straightforward collection handover. An event gallery can add a guest-facing browsing and download experience. PhotoBet also offers selfie search within the event’s processed photos, which may help when attendees want images they appear in.

Compare PhotoBet with a Google Drive folder, or see what selfie search can and cannot do.

3. Prepare the intended collection.

Upload photographs you have permission to share, keeping your own copies. Check image count, individual-file limits and storage before uploading. Retained photos from previous events still count toward PhotoBet's account allowances.

Wait for processing and review the guest view. Enable guest contributions only if they belong in the agreed workflow, and explain their visibility to contributors.

4. Test the complete path on another phone.

Use the actual link or printed QR. Follow access steps as a guest would, rather than relying on your signed-in owner view. With a consenting person who appears in the photos, try search and an allowed download.

  • Does the link open the correct event?
  • Can the recipient get the access code, if needed?
  • Are expected photos processed and available?
  • Is it clear whether a download is free or a paid original?
  • Can someone get help without sending a password, access code or selfie to a general contact form?

5. Send the link with useful instructions.

State which event the gallery is for, when photographs are ready, the agreed access window and who can help. If you print a QR, also provide the link for people who cannot scan it.

“The photos from [event] are ready. Open [gallery link] and follow the access steps. You can search with a selfie where available, then choose an available download. For a missing photo or access help, contact [photographer]. Please download the photos you need by [agreed date].”

Replace every bracketed detail and confirm the date before sending. Prepare a QR sign with matching instructions.

6. Have an answer when something does not work.

A missing search result does not mean the photograph does not exist. Check processing, the intended collection and the guest's access. Arrange another delivery method if a guest cannot or does not want to use face search.

For browser or download trouble, share PhotoBet's guest help. Before promising extended availability, confirm the paid-period and retention arrangements.

Start with a small collection

Try the handover before your next event.

Create a small gallery with photos you have permission to share. Open it on a second device and check the guest experience before choosing a paid plan.
